This includes ensuring the accuracy of room types and rates, cut-off dates, rooming lists, and payment options. The coordinator manages Passkey, activates booking links, and creates sell messages for individual booking groups. They collaborate closely with Sales and Event Planning Managers, as well as Meeting Planners, to address questions and fulfill requests related to group blocks. Additionally, the coordinator provides support to the Reservations Team by assisting with reservation calls, emails, and other tasks as needed. This position is on-site, and candidates must have the ability to work in person in Houston, TX As a Reservations Coordinator (Group Focus) your responsibilities will include, but are not limited to the following: Constant execution of Hyatt standards and policies Understand the impact of each group block in the overall hotel strategy. Manage, and maintain group blocks, ensuring accuracy of cut-off dates, pickup, rates, inventory, room allocations, billing instructions, cancellation policies, complimentary rooms based on the Group sales Booking (GSB). Manage suite inventory for group blocks by holding and assigning suites in accordance with contractual requirements, and ensure Group VIPs, Meeting Planners Review and assign upcoming suite arrivals for transient and other non-group guests Process all group reservation requests, changes, and cancellations received by phone, fax, or email. Ensure appropriate information is available for individual call-in and housing groups. Process and respond to all group inquiries from Meeting Planners and Meeting Planner Process all incoming reservations received via rooming lists, emails, phone, fax or in-house correspondence. Set up a trace system for each group with regular documented conversations with clients, event planning managers, and Reservations/Revenue Manager. Coordinate and process site visit reservations with Sales Manager and Event Planning Manager Manage group billing and payment requirements, including deposits, cancellations, refunds, billing instructions, complimentary room calculations, and post-departure folio reconciliation Review reservation cancellations and process applicable charges or refunds in accordance with hotel policies, and rate rules. Review E-Sertifi, apply payment method and set up billing according to the instruction on the credit Card authorization form Create and maintain airline crew room blocks, upload and manage monthly airline manifests, and ensure all reservations, additions, cancellations, and modifications are accurately reflected in the system. Have strong knowledge of hotel facilities and services, and local attractions. Answer all incoming calls in an efficient manner. Provide guests with the requested information concerning the hotel, city and its services. Perform other duties and special projects as assigned by Reservations Manager and Director of Revenue.
