This role supports the systems, financial operations, and data infrastructure that keep a growing bookkeeping organization running efficiently. You’ll help maintain accurate and secure client data while supporting integrations, reporting, system administration, and operational workflows. The position combines financial operations knowledge with business systems support, troubleshooting, data coordination, and emerging AI and automation initiatives. You’ll work across multiple departments and collaborate directly with clients, vendors, and internal teams to resolve technical and operational issues. The role offers broad exposure to cloud-based business applications, financial systems, CRM platforms, reporting tools, and workflow technologies. You’ll also contribute to process documentation, data quality, system improvements, and projects that make everyday operations more efficient and scalable. Accountabilities: Support new client onboarding by completing required system setup and coordinating financial and operational data. Set up and maintain client bank account integrations with QuickBooks Online and secure password management systems. Configure and maintain payroll account integrations with QuickBooks Online and secure password management systems. Troubleshoot integration and software issues by coordinating with clients, financial institutions, payroll providers, vendors, and internal teams. Support payroll and pension operations during annual setup periods, peak processing periods, and year-end reporting. Assist with the development, setup, and maintenance of financial reporting dashboards. Support financial and client-data projects across departments as needed. Maintain Monday.com boards and folders, including periodic backups, organization, cleanup, and data maintenance. Maintain client contact information across CRM and newsletter communication platforms. Support the management and maintenance of legacy client renewal workflows and related data. Contribute to organizational AI and automation initiatives by identifying opportunities to improve workflows and operational efficiency. Help create, update, and maintain documentation for business processes and workflows. Assist with newsletters and other client communications and special projects. Retrieve membership, contract, and other relevant data to support billing and financial operations. Provide general systems, data, and operational support across departments. Maintain strong data accuracy, integrity, confidentiality, and security across organizational and client information. Communicate clearly with stakeholders and proactively follow issues through to resolution. Requirements: Bachelor’s degree in Accounting, Information Systems, Business Administration, or a related field, or an equivalent combination of education and experience. At least 3 years of experience in accounting, bookkeeping, financial operations, business systems support, data management, or a related field. Experience supporting business applications, system implementations, financial systems, or enterprise software. Experience troubleshooting software, system, or integration-related issues and working with end users to resolve problems. Strong client-facing communication skills and the ability to work effectively with customers, vendors, and internal stakeholders. Advanced proficiency in Microsoft Excel, including formulas, lookups, data analysis, and working with structured datasets. Proficiency with Microsoft Office 365 applications. Familiarity with AI productivity tools such as ChatGPT or Claude. Experience with QuickBooks Online, CRM platforms, and other cloud-based business applications is preferred. Experience with Monday.com or similar project and workflow management platforms is preferred. Experience with reporting, automation, business intelligence, workflow optimization, or data-management initiatives is preferred. Knowledge of accounts payable, general ledger, payroll, or pension processes is a plus. Experience working with financial or bookkeeping operations is beneficial. Ability to quickly learn unfamiliar technologies and become proficient with new systems. Strong attention to detail and commitment to data accuracy and system integrity. Excellent organizational skills with the ability to manage multiple priorities and consistently meet deadlines. Strong initiative and a proactive approach to identifying problems and developing practical solutions. Ability to work collaboratively across multiple departments and organizational levels. Experience supporting financial or administrative operations within community, membership-based, or similar organizations is a plus. Must be authorized to work in the United States for the duration of employment without requiring current or future employer sponsorship. Benefits: Annual base salary range of $57,000–$68,000.
